Getting started
Who Fieldify is for, how the free trial works and what to expect when you first sign up.
8 questions
Who is Fieldify for?
Fieldify is built for UK trade businesses of all sizes, from someone working on their own to businesses with large teams. Whether you're an electrician, plumber, heating engineer, builder, roofer, cleaner, landscaper, locksmith or another trade, if you manage jobs, customers, quotes and invoices, Fieldify is designed to make the day-to-day admin easier.
How does the free trial work?
You get 14 days to use Fieldify with all features included, and you don't need to enter any card details to start. Your trial begins when your account is approved, so you get the full 14 days to try it properly.
What happens when the trial ends?
You won't be charged automatically. If you decide not to subscribe, your account will pause and your data will stay as you left it until you subscribe or ask us to delete it.
Can I subscribe before my trial ends?
Yes, and most people who do are adding a fourth person, since the trial covers three. Subscribing ends your trial there and then: your first payment is taken that day, and your plan runs monthly from it. If you would rather use the full 14 days first, stay on the trial and subscribe at the end.
Why isn't my account active straight away?
We quickly check every new signup before activating it to make sure Fieldify remains focused on genuine trade businesses. This is usually completed the same day, and we'll email you as soon as your account is ready.
Do I have to set everything up myself?
No. Choose your trade when you sign up and Fieldify will start you off with useful checklists and a price list suited to the work you do. You can change, add or remove anything whenever you like.
Does it work on a phone?
Yes. Fieldify is designed to work properly on your phone, tablet and computer. From your phone you can manage jobs, complete checklists, add photos and videos, collect signatures, send quotes and raise invoices while you're out working.
Is there an app to install?
There's nothing you need to download from an app store. Open Fieldify in Safari or Chrome and you can add it to your home screen, where it opens and works much like a normal app, including full-screen access and notifications.
Pricing and billing
How Fieldify is priced, what happens when your team changes and what to expect if you decide to cancel.
6 questions
What does Fieldify cost?
Fieldify costs £29 a month for the first person, then £9 a month for each additional team member. So if you work on your own, it's £29 a month. A team of four would pay £56 a month.
Are any features held back on a cheaper plan?
No. There's just one Fieldify plan and every feature is included. That means jobs, customers, quotes, invoices, payments, your business website, customer reviews, reports and more. Your price only changes when you add or remove people from your account.
What if I add or remove someone mid-month?
If you add someone partway through your billing month, you'll only be charged for the remaining time in that period. If you remove someone, your monthly price will be adjusted from your next bill.
How do I pay, and who handles my card details?
Your Fieldify subscription is paid monthly by card through Stripe. Your card details are handled securely by Stripe and aren't stored by Fieldify. You can manage your payment method, billing details and receipts through the billing portal.
Can I cancel at any time?
Yes. You can cancel from your account settings whenever you like, with no notice period and no need to contact us. Your subscription will continue until the end of the period you've already paid for.
What happens to my data if I stop paying?
Your data isn't deleted just because you stop paying. Your account will pause, and you can export your information if you need a copy of your records.
The working day
How Fieldify helps you plan jobs, manage the diary, record what happened on site and keep on top of work that comes around again.
9 questions
How does a job work?
Choose the customer, add the work that needs doing and schedule when it's happening. The job then keeps everything connected to that work together, including checklists, time spent, materials used, photos, videos, notes and customer signatures.
How do I know what to do next?
Fieldify tells you. Every enquiry, quote, job and invoice opens with a line saying where it has got to and one button for the next step: send it, book it in, invoice it, chase it. When there is genuinely nothing to do, it says nothing rather than inventing a task.
Will it do things on its own?
No, and deliberately. Fieldify tells you what is outstanding and you decide. Nothing is sent to a customer, invoiced or marked as done unless somebody presses the button.
Can I record what actually happened on site?
Yes. While you're on the job you can complete checklists, log your time and materials, add photos and videos, record readings and findings, and collect the customer's signature straight from your phone.
Can I split a big job into stages?
Yes. Break larger jobs into stages such as first fix, plastering, second fix, testing and certification, then mark each stage off as the work progresses. You can also plan payments around those stages, making it clear what's due and when.
Does it handle work that repeats?
Yes. For work such as an annual service, set a reminder and Fieldify will let you know when it's coming due. For customers you visit every week or month, you can create a round to manage the regular visits.
What is a round?
A round is a group of regular visits arranged in the order you want to complete them, with a price set for each visit. It's useful for cleaners, gardeners, property maintenance teams and other businesses visiting the same customers regularly, and multiple visits can be combined onto a single invoice.
How do I know who is doing what?
Put one person or a whole gang on a job, and Fieldify tells each of them when they are added, with the time and the address. Everyone opens Fieldify on their own work rather than the whole firm's diary, and can switch to everyone when they need the full picture.
Can I see what a job actually cost me?
Yes. Record the time spent and materials used as the job progresses and you'll have a clearer picture of what the work actually cost you. That makes it easier to see whether you priced the job correctly and helps when quoting similar work in future.
Quotes, invoices and payments
How to send quotes, turn accepted work into jobs, raise invoices and keep track of what you've been paid.
8 questions
How does a customer accept a quote?
They receive an email with a link to their quote, which they can open on their phone, tablet or computer and accept online. There's no account to create, password to remember or paperwork to send back.
Do accepted quotes turn into jobs?
Yes. Once a quote is accepted, you can turn it into a job without entering all the details again. The customer, work and pricing are carried across, and the job remains linked to the original quote so you can always see what was agreed.
How do deposits work?
Add a deposit to your quote as either a fixed amount or a percentage. Once the quote is accepted Fieldify asks you to send the deposit invoice before the work is booked in, and a deposit that was paid comes off the final invoice automatically. If one was agreed and never paid, Fieldify says so before you bill for the work rather than quietly writing it off.
Can my customers pay me through Fieldify?
Yes. Connect your Stripe account and your invoices can include a Pay now button, allowing customers to pay online. Once the payment goes through, Fieldify updates the invoice automatically. If you prefer to take payment another way, you don't have to use Stripe.
What does taking a card payment cost?
You simply pay Stripe's standard processing fee for each payment, with the current rates available on Stripe's pricing page. Fieldify doesn't add any transaction fees of its own.
What if I get paid in cash, by bank transfer or on my own card machine?
Simply record the payment against the invoice and choose how the customer paid, whether that's bank transfer, card machine, cash or cheque. You can record part payments too, and Fieldify will keep the remaining balance up to date.
Do my invoices look like proper invoices?
Yes. Your invoices include your business details, logo, invoice number and your company and VAT details where applicable. Each invoice can also be downloaded as a professional PDF for the customer to save, print or keep for their records.
How do I know what I'm owed?
Fieldify makes it easy to see which invoices are still outstanding and which are overdue. You can see what needs your attention from the Today screen or filter your invoices to quickly find the ones that still need paying.
Your team
How team logins and permissions work, and how you control what each person can see and do in Fieldify.
10 questions
Does everyone get their own login?
Yes. Each person gets their own Fieldify login rather than sharing someone else's. That gives you a clear record of who has done what and means you can remove one person's access without affecting the rest of the team.
What roles are there?
Fieldify includes owner, admin, office and field worker roles. Owners and admins have full access, office staff can manage the diary and paperwork, while field workers can focus on the jobs they've been assigned.
Can I stop my team seeing what I charge?
Yes. You control what each person can access, so someone can see the jobs and customer details they need without seeing quotes, invoices, payments or reports. They get the information they need to do their work without having access to the financial side of the business.
Can I stop someone deleting things or giving discounts?
Yes, and separately from what they can open. Each person has three switches of their own: whether they can delete things, give discounts, and send quotes and invoices to customers. Office staff can send and discount by default, people on the tools can do neither, and you can change any of it for any person.
Can someone write a quote without being able to send it?
Yes. Turn off "send to customers" for them and they can prepare a quote or invoice at your prices and leave it for you to look over and send. Turn off "give discounts" as well and they cannot knock money off it either.
How does someone know they have been put on a job?
Fieldify tells them, with the time, the address and the customer in the message. Only the people actually added are told, and opening it takes them straight to the job. Nobody has to be rung the night before.
Can two people work on the same job?
Yes. Put as many people on a job as the work needs. Each item on the job checklist can carry a name too, so everyone can see which bits are theirs and what the others have already done.
Can I see what each person has done on a job?
Yes. Every job keeps its own history with the name of whoever did each thing and when: booked, started, finished, invoiced, paid. Photos and documents show who added them.
Does everyone see the whole diary?
Only if you want them to. Someone opening Fieldify sees the jobs they are on rather than the whole firm's day, and can switch to everyone whenever they need the full picture. Fieldify remembers which each person prefers.
What happens when somebody leaves?
Remove their access and they can no longer log in. The work they completed stays safely on your account, including their job updates, photos, videos, notes and any signatures they collected, and their name stays on the history of what they did.
Winning work
How your Fieldify website brings in enquiries, how those enquiries become customers and how genuine reviews help show people why they should choose your business.
7 questions
Do I get a website?
Yes. Your business website is included with Fieldify, with no separate hosting subscription to pay. Add your business details, services and photos, then publish it when you're ready.
Can I use my own domain?
Yes. You can connect a domain you already own to your Fieldify website. We'll give you the details you need to add with your domain provider and check the connection for you. Your website can use its Fieldify address while you're setting this up.
Where do enquiries from my website end up?
Website enquiries appear directly in the Enquiries section of Fieldify, rather than getting lost among your emails. When an enquiry becomes a job, you can create the customer using the details they've already provided without entering them again.
How do reviews work?
Request a review and your customer receives an email with their own link, with no account or login required. Their review is published when they submit it, and you can add a public reply if you want to respond.
Can I show my reviews on the website I already have?
Yes. Fieldify gives you a simple piece of code to add to your existing website, with different ways to display your reviews. New reviews appear automatically, and it can be added to sites built with WordPress, Wix, Squarespace or your own website.
Can I hide a review I don't like?
No. Reviews are published as customers submit them, rather than allowing businesses to choose which ones people see. You can, however, reply publicly to any review and give your side if you feel a response is needed.
Can I show my qualifications and insurance?
Yes. Keep qualifications, registrations and insurance details in Fieldify, including reference numbers and expiry dates, and choose which ones you want customers to see on your website.
Your data
Where your Fieldify data is stored, who has access to it and how you can take a copy with you whenever you need one.
5 questions
Where is my data stored?
Your business records are stored in a database in the AWS London region, while photos, videos and documents are stored using Cloudflare. Some of the services Fieldify uses are based in the United States, and our privacy policy explains how and where your data is handled in more detail.
Can I get my data out?
Yes. You can export your data from your settings whenever you like, without having to contact us or explain why. Your export includes your customers, jobs, quotes, invoices and payments.
Who else can see it?
Your data is available only to the people in your business who you've given access to. We don't sell your data or share it with other businesses, and we only access an account ourselves when necessary to provide support or operate the service.
Do you use my data to train AI?
No. Your customer information, jobs, pricing and other business data are not used to train AI models.
What happens if I delete a customer?
Their personal details are removed, while invoices that need to remain as part of your business records are kept. This allows you to retain the financial records you may need for bookkeeping without unnecessarily keeping the customer's personal information.
What comes next
How Fieldify keeps improving, how customers help shape what gets built and what happens when new features are added.
4 questions
Can I suggest a feature?
Yes. You can suggest new features directly from inside Fieldify, see ideas submitted by other businesses and vote for the ones you'd find most useful. The suggestions with the most support naturally rise to the top.
Who decides what gets built?
Customer feedback plays a big part in deciding what we work on next. Because suggestions and votes come from businesses actually using Fieldify, we can see which improvements would make the biggest difference to the people using it every day.
Will my suggestion just disappear?
No. Every suggestion has a status you can follow, and we'll respond to the ideas that are submitted. We won't be able to build every request, but you'll be able to see what's happening rather than wondering whether your suggestion was ever seen.
Will the price go up when new things are added?
New features are added to the Fieldify plan rather than sold as separate upgrades. If we ever change our pricing, we'll let you know before the new price affects you.
